Welcome to this Customer User Guide which relates to the 2.9.0 build, we have introduced some New Functionality and also system improvements both in Workshop Management and the Link system.
The 3 main points below will help you understand how to use and how to have the necessary set up for each new feature or improvement.

New Functionality
Added the ability to upload documents through Workshop Management
This is a useful function that helps retain any document you wish to attached to any job pack, such as service sheets, warranty supporting documentations etc, it is a simple process which is explained below.

**All users have this function available.
- The function can be accessed in 2 places within Workshop Management
- The Documents tab on the main Workshop Management page
- The Documents tab within a booking in Workshop Management.
Adding a Document in Workshop Management.
Select the Documents tab on the main Workshop Management screen as shown below.
You will be presented with the following screen where you need to input a minimum of Booking No & Reg No. Here you can search & view existing documents by selecting from the dropdown list or Upload Document.
Selecting ‘Upload Document’ will present the following screen where you can choose the Document Type you wish to upload. You can then ‘Select Document’, add a Description and Upload Document.
Once uploaded the document will show in the documents tab under the relevant ‘Document Type’.
The screenshot below shows some test documents uploaded to the booking as a Document Type of Other.
Adding a Document within a booking in Workshop Management
This works in a similar way however as you have opened the Booking there isn’t a need to input a Booking & Reg No.
Select ‘Upload Document’
You can then ‘Select Document’, add a Description and Upload Document.
Additional ‘Document Type’ categories can be added through Admin Tool > Misc table > EDocument Types
Check with your Account Manager.
Customer information now restricted - Permission level
To prevent accidental amendments to important customer fields within the systems, this function has now been given a higher level of user access. This will ensure that only selected staff members will have this option, the parameter will lock down customer name fields on Current Customer form.
The new 'Edit" button will only be available with user level 9 access

Below a staff member without relevant permission is logged in and the Customer details are greyed out, if they select ‘Edit’ then they are then presented with an override screen. Here an Agent with the relevant permission may authorise the change. (see below)
EMAC -Move to version 3.0 API
EMac have introduced a new API version 3.0 which will replace versions 1.4 & 2.1 for all new and existing customers.
We now have an integration into EMac new version 3.0.The new version will work in exactly the same way. Some example screenshots below
Workshop Manager & LINK
Now have the ability to open a booking and check for a live plan a very useful feature the Service Team.
Workshop Management System
To check for a Service Plan open a booking and select the 'Check Service Plan' button. If one is found the details will be displayed.
Link System
An automatic look up is done while completing a booking. If a Plan is found a button will display in the bottom right corner on the Booking Appointment page.

New Improvements.
Pilot Feedback - Auto close action notes when labour lines is authorised
An additional improvement has been introduced due to feedback received from customers, following the Authorisation of a Labour Line/s the Action note/s are now automatically closed.
Labour authorisation & Technicians clocking to a line
We have introduced a new function that allows control of when a Technician can clock to an authorised labour line.
This can be set to 3 levels.
- Site Authority Only
- Customer Only
- Customer and Site Authority required

Email and action note when labour line is authorised/declined by customer
We have created and mail that is sent to pre-determined users on site to inform them that a customer has either declined or approved a labour line. We have also included an action note to appear under the same circumstances.

Labour audit table - Improvements
Improvements have been made to the Labour audit table. This will now include information regarding the date and time lines were authorised/declined and who authorised/declined the line. i.e. Customer or Site.
Complaint-Cause-Cure for Technician writeups
We have created the ability within the Technicians App for the Technician to include a Cause and Cure explanation within the technician write up. Stored notes can be viewed in the clocking history

2.9.0 Tech App Version download required.
Rename "Payment Assist" reports - HD85005
We have renamed the ‘Payment Assist’ to ‘Finance’ which will allow the report to be used for all finance providers.
Open Booking via SMS tab in workshop management
A user now has the option to open either the SMS or booking via the SMS tab in Workshop Management.
If they right click on the relevant SMS they will have the option to Open SMS or Open Booking. (as shown below)
Selecting Open SMS will take them to the SMS screen where we have added an Open Booking button.
If the user selects ‘Open Booking’ this will open the Booking
The ‘Open Booking’ function has also been added to the ‘Action Notes’
Bug Fixes
Various bugs have also been rectified in the 2.9.0 upgrade
