The ability to configure and manage checklists is permission based. Please contact your FileIt administrator
In order to manage checklists, you will need to navigate to System Settings>FileIt>Manage Checklists.
Once you have accessed Manage Checklists, you will see a screen similar to the below.
Creating a Checklist
1. In order to create a new checklist item, simply click on the 'Add Checklist Item' link.
2. A new screen will then display, and from here is where you will enter the name of your checklist, a description of the checklist and you will also be able to assign the checklist to a location (or multiple locations) by clicking on the + (plus) sign. Then click on the 'Create and Manage Checklist' button.
3. The below screen will then be displayed, and from here you can amend the locations that the checklist is assigned to by clicking on the 'Edit Locations' button and you can also link the checklist to one or more folder statuses by clicking on the 'Add Folder Statuses' button.
4. If you want to link the checklist to a folder status, click on the 'Add Folder Statuses' link and the below pop-up box will appear on screen. In this pop-up, you can select which status or statuses you want to link the checklist to. Once you have chosen the status or statuses, click on the 'Add to Checklist' button.
5. The screen will then automatically refresh, and you will be able to see the status or statuses that the checklist is linked to on the right-hand side.
Linking a checklist to a status means that the checklist must be completed (or marked as N/A) before the visit folder can be changed to that folder status. For example, in the example above, the checklist must be completed (or marked as N/A) before the system will allow the visit folder status to be set to 'Closed'.
Editing a Checklist
1. In order to edit a checklist, simply click on the 'edit' icon next to the checklist.
2. The below screen will then display and from here, you will be able to amend the checklist title, checklist description, add or remove locations and add or remove linked folder statuses. To amend the checklist title or checklist description, simply click on the 'edit' icon. To add or remove locations, you can click on the 'Edit Locations' link, or you can click on the 'edit' icon and to add or remove linked folder statuses, simply click on the 'bin' icon, and click on the 'Add Folder Statuses' to add more.
Deleting a Checklist
1. In order to delete a checklist, simply click on the 'bin' icon next to the checklist that you wish to remove.
2. After clicking on the 'bin' icon, the system will automatically refresh, and the checklist will have been removed.
When a checklist is deleted, that means that users will no longer be able to see that checklist in visit folders
Restoring a Checklist
1. When a checklist is deleted, it is still retrievable as the system only preforms a 'soft delete'. In order to recover/restore any checklists that have been previously deleted, first click on the 'Show Deleted' filter box and then click on the 'recover' button next to the checklist you wish to restore. The selected checklist will then be restored and will appear show within the visit folders of the cabinets it is assigned to.
