The ability to configure and manage document categories is permission based. Please contact your FileIt administrator
In order to manage document categories, you will need to navigate to System Settings>FileIt>Document Categories.
Once you have accessed Document Categories, you will see a screen similar to the below.
Creating a new category
1. In order to create a new document category, simply click on the 'Add Document Category' link.
2. A new screen will then appear where you will be able to enter the description of the new document category and assign it to one or more cabinets. You can add cabinets by clicking on the + (plus) sign.
3. After clicking on the + (plus) sign, the below screen will appear where you can choose the cabinets the category should be assigned to. Once you have selected the cabinet(s), simple click the 'Add to Cabinet' button.
4. After clicking on the 'Add to Cabinet' button, the screen will automatically refresh and return back to the previous page and from here, simply click on the 'Save' button and your new document category will have been set up.
Editing a category
1. In order to edit a category, simply click on the 'edit' icon next to the category.
2. The below screen will then display and from here you will be able to amend the description of the category and add/remove any cabinets the category is assigned to by clicking on the + (plus) sign to add or the 'bin' icon to remove. Once you have finished your amendments, click on the 'Save' button.
Please note that you will not be able to amend the description of any document categories that have a padlock icon next to them. This icon denotes that the category is protected and only the cabinets that it is assigned to can be amended.
Deleting a category
1. In order to delete a category, simply click on the 'bin' icon next to the category you want to remove, and a line will appear through the description, indicating that the category has been deleted. You can also view any previously deleted categories by clicking on the 'Show Deleted' filter box at the top of the screen.
When a category is deleted, that means that users will no longer be able to see that option in the list when manually uploading a document, but any documents that have previously been set to that category will still remain until they have been reassigned to a different category.
Restoring a category
1. When a category is deleted, it is still retrievable as the system only preforms a 'soft delete'. In order to recover/restore any categories that have been previously deleted, first click on the 'Show Deleted' filter box and then click on the 'recover' button next to the category you wish to restore. The selected category will then be restored and will appear as an option in the category list when manually uploading a document.
