The ability to configure and manage document types is permission based. Please contact your FileIt administrator
In order to manage document types, you will need to navigate to System Settings>FileIt>Document Types.
Once you have accessed Document Types, you will see a screen similar to the below.
Creating a Document Type
1. In order to create a new document type, simply click on the 'Add Document Type' link.
2. A new screen will then appear where you will be able to enter the description of the new document type and assign it to one or more cabinets. You can add cabinets by clicking on the + (plus) sign.
3. After clicking on the + (plus) sign, the below screen will appear where you can choose the cabinets the type should be assigned to. Once you have selected the cabinet(s), simple click the 'Add to Cabinet' button.
4. After clicking on the 'Add to Cabinet' button, the screen will automatically refresh and return back to the previous page and from here, simply click on the 'Save' button and your new document type will have been set up.
Editing a type
1. In order to edit a type, simply click on the 'edit' icon next to the type.
2. The below screen will then display and from here you will be able to amend the description of the type and add/remove any cabinets the type is assigned to by clicking on the + (plus) sign to add or the 'bin' icon to remove. Once you have finished your amendments, click on the 'Save' button.
Please note that you will not be able to amend the description of any document types that have a padlock icon next to them. This icon denotes that the type is protected and only the cabinets that it is assigned to can be amended.
Deleting a type
1. In order to delete a type, simply click on the 'bin' icon next to the type you want to remove, and a line will appear through the description, indicating that the type has been deleted. You can also view any previously deleted types by clicking on the 'Show Deleted' filter box at the top of the screen.
When a type is deleted, that means that users will no longer be able to see that option in the list when manually uploading a document, but any documents that have previously been set to that type will still remain until they have been reassigned to a different type.
Restoring a type
1. When a type is deleted, it is still retrievable as the system only preforms a 'soft delete'. In order to recover/restore any types that have been previously deleted, first click on the 'Show Deleted' filter box and then click on the 'recover' button next to the type you wish to restore. The selected type will then be restored and will appear as an option in the type list when manually uploading a document.
