Welcome to this Customer User Guide which relates to the 2.9.6 build, we have introduced some Improvements to the system both in Workshop Management and Link system.
The 3 main points below will help you understand how to use and how to have the necessary set up for each new feature or improvement.

Improvements
Addition of manual Technician write-up page
We have added the option to include a manual write up page within the job card, this will allow the technician to do a pen to paper write up where necessary. This has been created for customers who use a partial digital integration, i.e. Advisor App for Check-in.

Remove the File exit on GDPR
Where a dealer is using the Continue Without Agreement function within the GDPR module we are now able to remove the Exit option from the File menu.
The screenshot below shows the Data Privacy screen where the dealer is not using Continue Without Agreement
The below screenshots shows the difference when the Continue Without Agreement is switched on.
Within the RTC reporting suite, there are various possibilities available for Reporting on the GDPR functions.

GDPR recapture time
The GDPR form can now be configured to pop to recapture data after a certain period of time, this can be configured by the System administrator. The time period set is based on the previous captured information held in the Data Privacy settings. This information is captured from the RTC Data privacy history as shown below.
The date for the previous capture date is visible in the Consent History tab within the Data Privacy settings
**A user with a permission level of 9 (Link System) is allowed to configure this function within Data Privacy settings.
No media captured prompt In Web Inspection - CitNOW
In Web Inspection when CitNow is configured the system has been developed to inform the Technician that media has not been captured. The Technician must select a reason why no media has been captured.
Reporting on "No Media" reasons has now been added to the Reporting suite, in the media reports.

Below is a sample of "Media Type" Analysis by Technician report, just 1 of the possible reporting tools that could be used. Highlight shows the Count of Media not sent. If a "count" is available a Drill down is possible to see the reasons.

New icon/prompt to warn users that RTC media has not been sent
We have created a media warning icon in Workshop Management to warn users that media captured by the technician has not been sent to the customer. Once the labour and parts have been added to the eVHC the "time" clock will be displayed after 30 minutes (this can be configured) See below screenshot showing the new media warning timer icon.

Online Check-in/Upsell & Dealer campaigns
A new Campaign Upsell report is now available through the RTC Reporting Service, this is an automated online report generated based on the activity for dealers who use the Online Self Check in feature.
The system will now produce a monthly analysis report giving details of all the bookings including the Online Check In data for a individual dealer or whole group.
It will also detail all the additional upsell opportunity/actual sold work. The report also shows the extra revenue opportunity based on the number of bookings. This function enables the dealers to monitor their online performance more accurately.

Ability to show the group name as the 'From' email address
The screenshots below shows the "From" text as RTC TEST, this can be configured to the company name as required.

Keyloop Telephony Enhancement
To further enhance the integration with Keyloop's telephony system, we have now added the phone icon which facilitates click-to-dial on the Check List tab when you open a Booking in Workshop Management.
* This function is automatically available after the upgrade (Integration dependant)
Internal included on checklist & Booking screen in Workshop Management
We have added the option to include or exclude internal jobs from the Checklist screen.
Workshop Management > Checklist tab. There is now a ‘Show Internal’ checkbox (Will only show for KCC8_35 Dealers). Checking the ‘Show Internal check box will show internal jobs, unchecked will not show internal jobs.
There is now also new Internal checkbox within the booking screen in Workshop Management.
If the booking is an internal booking a tick will show in this box.
Internal bookings are recognised by the VSBNo, so if a booking header has a VSBNo,
it is considered an internal booking and this box will be checked.
Keyloop - Drive Dealers
Additional Keyloop GDPR development
The GDPR form can now be configured to pop under certain criteria. This is controlled through Tools > Admin Menu > Data Privacy Editor > Edit Settings table (as shown below)
Once configured, the Data Privacy form should pop in the relevant places within the applications depending on which GDPR touch points have been enabled in the GDPR settings.
Drive Integration - A feature has now been added to prevent the mileage writing back to the DMS.
