Welcome to this Customer User Guide which relates to the builds 2.10.6 to 2.10.11, we have introduced some New Features and Improvements to the system both in Workshop Management and Link system. 


The 3 main points below will help you understand how to use and how to have the necessary set up for each new feature or improvement.

New Features

*IHSM integration (Enhancements)


This process imports leads from CFA into Outbound within the Link system now has some new features.


Active Service Plans – leads with active service plans will be flagged and visible meaning no separate system look up will be required saving time at point of booking.


All-in Eligible – leads where vehicles are meeting the age and mileage parameters for All-in eligibility checks will be flagged and visible allowing eligibility checks to be positioned and offered at point of booking.

*Duplicate record function update 


When carrying out a booking if any duplicate records are found in the DMS the user can manually select the duplicate records which will populate an email template which can then be forwarded to a designated email contact who can subsequently close the affected duplicate records.


Press Send Duplicate Info (screenshot below) which will populate the email template.

*Online Pricing Tool 


Accessed through the Link System Admin menu a new feature called "Online Pricing" is available, this will allow users with the correct access level to amend the prices or repair codes for online bookings.


Users now have the ability to access and add/edit the WebModels, WebSchedule and WebScheduleTypes tables & Prices



Clicking the Online Pricing, the main dashboard as seen below will load, from here the user can click the appropriate table that needs updating.

*Outbound Contact changes


The Outbound contact strategy can now be configured to send different emails / SMS’s at different points of the contactchain. The frequency post or pre contact can be configured individually for both SMS and emails, plus the contact templates can also be bespoke to the requirements needed.

*Signature status visibility


There is a new column within Workshop manager, "Sig", to confirm if a customer signature has been captured and/or another signature is required due to changes on the booking. The column is updated irrespective of where the signature is captured i.e. online or through the Advisor app process, the varying signature statuses can now be identified.


This is important for Digital and paperless dealers, it enables the Workshop Manager to check if signatures are missing or need updating, you can also send a "Send signature invite" from within the Booking.

*Last Clocking Date report


To enhance the warranty process for paperless and digital dealers, within the DMS WIP Report a new column has been added "Last Clocking Age", this will report the last clocked time on the job card, critical to ensure no warranty claims exceed the manufacturers stipulated allowed claiming period.

Report is located in the Admin Menu > Reports tree on the front page of Workshop Management.



Select the criteria from the dropdown box as required, then click run report





 The new end column highlighted now shows the elapsed days from the last clocking

*New Finance Reporting


A new tab is present in Workshop Management if enabled. This tab will display 3rd party integrated finance data that has been actioned against the inspection. Clicking the Workshop Management tab will open and display the finance activity (including values) for the day



Once the booking records are listed you can click into the individual booking or the inspection to access the details.

Improvements


*Outbound Call update "Already Done by us"


When selecting ‘Already Done by us’ in Outbound it now has a Close Call' button, it also has has the option to update the information if necessary.



*Outbound Call update "Not Owner/Moved"


When selecting Not Owner/Moved you are now presented with the below screen. Selecting Customer has sold the Vehicle will correctly detach the vehicle from the customer as before. If you select Customer has Moved it will now present you with a screen to amend the customer's address and close down the call rather than detaching.




*Outbound Call update "Work done Elsewhere" 


When selecting ‘Work Done Elsewhere’ you are now presented with the below screen with dropdown selections. You can then close down the call from this screen. There is also the option to manually enter any relevant details.


The screen now includes "Close Call" button



Note: Reporting on these functions is available in the Reporting suite - Outbound Summary


*JLR Menu pricing 3 year plus and standard pricing


Within the Menu pricing function there is now an option to display the standard repair or service price and the 3 year plus price on the same screen, giving the user the option to select the most appropriate price for the customer. 


The screenshot below shows both prices, once the agreed price is quoted it can be selected in the normal manner.

*Labour line update function


When adding or editing a labour line in the booking details, if the user accessed another application outside RTC the previously entered information was lost, the system will now autosave the information entered, and a pop up screen appears stating an update has been saved. 




*Media Prompt on Tech App


When using the Tech App media a new pop up message will appear when taking any media asking the Technician to confirm if the location of the media being captured is correct. This will prevent booking & inspection media being saved incorrectly.

*Warning Message in Tech App When no signature is captured (Digital dealers)


The system now has the ability to warn a technician that they are clocking onto a labour line that has not been signed for by the customer.

*Technician notes - locked


If a technician adds a note in the Tech App V2, once this note has been saved it can then not be edited further, this function is useful for warranty repair records for certain manufacturers

*Finance Improvement - Approve button configurable 


The top button (highlighted below) can now be configured to show any wording requested by the dealer (Maximum characters 35).

*Bumper Improvement - Pop a box for declining the work not selected.


There is a new feature of a pop up box when a customer is declining work that was found during the eVHC process. The highlighted boxed below are unticked hence the pop up box. The value of £101.00 in the example is only the pre-agreed work.

*Bumper Improvement "Pay Now" button 


The option is now available to add a "Pay now" on the eVHC summary page.

*Bumper Improvement - Pay Now threshold


It is now possible to set a minimum amount threshold for the "Pay now" option, the button will only appear if the customers selects work over the set minimum amount.

*Self Check In - Tree Reporting (Currently being worked on 05/05)


To assist in monitoring the Self Check-in function, there is now a modified report located in the Report suite in Workshop Management. Select the Advisor App statistics by dealer option>select the dealer (if multiples sites are available) >Run report





The report will be displayed as below showing any relevant statistics to "Checked In" in particular.

*Select multiple parts (eVHC)


Added support for dragging multiple parts onto an inspection.


From within the Parts tab on the VHC form, the user can now hold down the shift key to select more than one part in the parts grid and then drag these over onto an item in one go.


As per the screenshot below press "Load DMS Parts" then select the required part or for multiple items select them all (hold Shift Key) and drag to the Red/Amber work line



Bug Fixes


Various bug fixes have also been applied to the builds from 2.10.6 to 2.10.11
